These policies guide everyone who participates in or attends a CoCo (Costumers of Color) event, activity, or trip (whether in person or virtual). All CoCo events and social media accounts are covered by these event policies, which include any venue, hotels, meeting rooms, field sites, or locations where a CoCo event takes place and the offsite locations where event-related social gatherings take place. 

Code of Conduct

By participating in any CoCo event or social media group communication platform, you agree to:

  • Be considerate and respectful to each other.
  • Communicate openly, thoughtfully, and encourage others to do the same.
  • Refrain from harassing, discriminatory, or demeaning conduct.
  • Comply with all rules, policies, and procedures of the facilities at which the event is being held.
  • Comply with all applicable laws and regulations in the location where the event is being held.

Behavior Policy

CoCo is dedicated to providing a pleasant event experience for all in attendance. 

The following behaviors are unacceptable and will not be tolerated:

  • Discrimination, or unfair treatment based on color, ethnicity, race, gender, gender identity /expression, sexual orientation, disability, physical appearance, body size, age, or religion.
  • Verbal or nonverbal hostility against any person or group of people in the above categories.
  • Physical or verbal abuse to any participant, event organizer, staff member, vendor, volunteer, or guest.
  • Sexual misconduct, sexual harassment, or sexual assault of any kind, including display of sexual images in event spaces.
  • Deliberate intimidation, stalking, or following.
  • Harassing photography or recording.
  • Sustained disruption of talks or other events.
  • Inappropriate and non-consensual physical contact.
  • Advocating for, inciting, or encouraging any of the above behavior.

Grievance Policy & Reporting Procedures

If someone makes you or anyone else feel unsafe or unwelcome, please report it as soon as possible to the event staff. If you would like to make an anonymous report, please email it to costumersofcolor@gmail.com. If your safety is in jeopardy you are encouraged to call 911. 

When taking a report, our staff will ensure you are safe and cannot be overheard. They may involve other staff to ensure your report is managed properly. Once safe, we’ll ask you to tell us about what happened. This can be upsetting, but we’ll handle it as respectfully as possible, and you can bring someone to support you. You won’t be asked to confront anyone. Our staff will be happy to help you contact hotel/venue security, local law enforcement, local support services, or otherwise assist you to feel safe for the duration of the event. 

Consequences

We will not tolerate unacceptable behaviors from event participants in any form. Engaging in unacceptable behaviors at our event may result in removal from or denial of access to the event and our social media spaces without a refund of any fees. Participants asked to stop any harassing, unacceptable, or otherwise disruptive behavior are expected to comply immediately.

By submitting a non-refundable per person trip deposit or balance payment, Guest is acknowledging, agreeing and accepting our Terms & Conditions Agreement, Policies, and Liability Waiver on behalf of himself/ herself/ themself and all persons for whom Guest is making payment. Guest understands that this is a legally binding and enforceable contract.

Do you offer refunds?

All tickets, trip deposits, and trip payments are non-refundable. If you would like to transfer your ticket, deposit, or payment to someone else please email me at costumersofcolor@gmail.com

How do you price your custom group tours?

Every custom group tour is priced differently because it is unique. Generally, for 3-4 star lodging, half-day planned activities including guided tours and exclusive experiences, daily European breakfast, plus taxes one should expect to budget $350-$575 per person, per day. For 4-5 star lodging, private guided tours, daily breakfast, exclusive experiences, plus taxes one should budget $550-$775 per person, per day. This does not include airfare, meals, tips, and personal expenses.

Do you provide a breakdown of costs?

Custom itineraries are created as a package. We do not provide a breakdown of prices in the packages we create. We will work within your budget to offer you the best options available. You will make the final choice of your accommodations and activities.
